Here at Coalters we often meet people who are looking to rent a property for the first time and we understand that it can seem like a pretty daunting task. Fear not – we have broken it down, step by step, to help you understand just how simple it is, and what to expect when going through the renting process with us!
Step 1: Get Registered
We want to find out exactly what you want, need and desire, so that we can match you up to the perfect property or make other suggestions based on your criteria. Below we have listed some of the questions we may ask:
- How many bedrooms do you need?
- Furnished or unfurnished?
- Do you need to be in a specific area?
- Do you have any specific requests? (For example, it may be essential for you to be on the ground floor, or that you need a parking space.)
We also like to get an idea of the time frame that you are working to, an idea of what brings you to be moving, and what your priorities are. Remember that although it seems like a lot of information, we only ask all of this so that we can create better matches for you and find you the perfect property quicker. Once we have your contact details we will be able to stay in touch when new properties come on the market that could work for you.
Step 2: Get Viewing
Once out viewing, you may notice things that you hadn’t thought of initially, that consequently become an important factor, and those higher priorities may become negotiable. Our team pride themselves on stock knowledge, so trust them when they make recommendations! When renting in the area, properties tend to come and go very quickly due to landlords not wanting a vacant property for too long – so bare this in mind when making plans to rent!
Step 3: Submit Application
Once you’ve found the property you would like to rent; either pop into our office in York City Centre, or call us on 01904 655 222 to make a free application. At this point we will need some basic information such as contact and employment details for all the tenants planning on living in the house or flat, so please have this handy when making an application. This will then be put forward to the landlord at the earliest possible opportunity and we will call you as soon as we hear anything back! Try not to worry if you miss out – we have plenty of new properties being marketed with us every week so we will do everything in our power to find you something else.
Step 4: Holding Pack
If your application is accepted by the landlord, first of all congratulations! Second of all, we will need you to provide an electronic signature for the holding pack via Docusign. We will also require you to pay the holding fee. This cost is to hold the property for you, and to take the property off the market. Don’t worry – this isn’t an extra cost, it will come of further monies due!
Step 5: Referencing
We use an external referencing company called UK Tenant Data who will check certain things such as income details, employment details and previous landlord references if applicable! Remember that all adults within the tenancy will need to go through referencing, along with any guarantors. The quicker you are able to provide the necessary information, the quicker we can get the ball rolling!
Step 6: Payments
Initial monies are highlighted in Section 5 of the holding pack that you will have already received and signed. Usually, we require the initial monies to be paid a week before move in. These include one month’s rent in advance, security deposit and other admin costs – remember your holding fee will be automatically deducted from this total cost!
Step 7: Paperwork
Once the referencing comes back, providing everything is okay, we will send you over the extra important bit – the Tenancy Agreement! These are sent to all parties involved including yourself and the landlord. We ask that you take some time to go over this document before signing, as it is legally binding.
The Final Step: Move in!
We will arrange a time and date for you to come into the office to collect the keys ready to move in. In some cases we may ask you to sign an inventory, this will be highlighted prior to you coming to the office. In line with the right to rent act, we will also require you to bring in your passport to be scanned. If you do not have a passport, please speak to your point of contact in the Coalters office who will advise you of other options.
Voila! You are moved in – that wasn’t so bad was it?
